Sales progression chasing: solicitors, brokers and the chain
Between an offer being accepted and exchange, a sale waits on the buyer’s and the seller’s solicitors, often a mortgage broker and lender, and sometimes a chain of other sales. Someone at the agency has to chase each of them and keep the vendor told. Across the UK’s 500 largest agencies, getting a sale to exchange took 4.0 months on average (ViewMyChain and TwentyEA, reported by The Negotiator in September 2024). Chancelry can set the chasing up for your agency as one job, in your own email and systems.
The job
This is the job as we’d write it down with you. The details, such as how long a sale can sit quiet before the first chaser and who gets copied in, go in the scope.
Examples of a single job. Not client results.
- Sales that have gone quiet. A list each morning of agreed sales where nothing has come back for a set number of days, from a solicitor, a broker or another agent in the chain, with a chaser drafted to each. You decide in the scope whether it sends or waits for you.
It doesn’t replace your CRM or your conveyancers, and it doesn’t give legal advice. It does the chasing, so the time goes on the sales that need a phone call.
Start with one job
Name one job you’d take off your desk. We agree in writing what “working” means, and we aim to have it running within a week of agreeing it, in your own email and systems.
You name the job. Reply to our email or use the consultation form. We’ll tell you by the next evening whether it fits.
We agree it in writing. A one-page scope: the job, the accounts it touches, and what “working” looks like.
Aiming for a week. We aim to have it running within a week of agreeing the scope, set up on your own accounts over a screen share you start.
Handover. A 45-minute screen share, then one round of changes within 14 days.
If it earns its keep, it grows. The same set-up can take on more of the firm, up to the full operator.

- Where each sale stands. One list, kept up to date from the emails that come in, of what’s back on each sale and what’s still outstanding.
- The vendor kept up to date. A short update drafted for each vendor on what has moved on their sale and what is still waiting, for you to read before it goes.
What you’ll need
- The accounts the job runs on, in your own name and paid for by you.
- A paid Claude plan, if the job uses Claude.
- If a computer is involved: administrator access, and a backup you’ve checked can be restored.
- One person who can approve the scope and sign off at handover.
- Nothing technical to learn. You start a screen share and we do the set-up.
A working session, replayed
The demo is a replay of real working sessions on our own businesses, with names changed. It isn’t estate agency work. It’s the same design, on different jobs.
